Sales and Catering Coordinator

This position is considered *entry level* and assists in the
organization and duties of the Sales & Catering department by
functioning as the central
contact for information specific to this department. The Sales &
Catering Coordinator may have responsibilities for selling
guestrooms, meeting space,
F&B and function planning services of the hotel.
Responsibilities also may include establishing new accounts through
prospecting and outside sales
calls, generating revenue by up selling and booking repeat business
while keeping quality consistently high. This position should
support the Director
of Sales and Sales Managers to allow these positions to remain
focused on proactive selling.
Essential Job Functions:
--- Approach all encounters with guests and team members in a
polite, friendly and service-oriented manner.
--- Maintain regular attendance in compliance with Shamin
standards, as required by scheduling, which will vary according to
the needs of the hotel.
--- Maintain high standards of personal appearance and grooming
which includes a nametag and attire when working.
--- Maintain high standards of office organization while
maintaining a clean and uncluttered work area.
--- Comply at all times with Shamin standards and regulations to
encourage safe and efficient hotel operations.
--- Prepare and process correspondence, contracts, Banquet Event
Orders, thank you letters, function information and agendas as
--- Maintain an accurate and up-to-date filing system.
--- Build and manage group blocks and reservations in the property
management system and sales system
--- Ensure that the information in the sales systems matches the
property management system
--- Minimum expectation is to meet set revenue productivity and
booking goals; preference is to exceed set goals.
--- Meet or exceed sales activity goals as assigned by the Director
--- Operate within the established sales expense budget.
--- Maintain and participate in an active sales solicitation
--- Initiate and follow up on leads as directed or assigned
--- Develop a full working knowledge of the operations of the
hotel, including Food and Beverage, Guest Services and
--- Monitor production of all top accounts and evaluate trends
within your market or assigned segment.
--- Utilize the automated sales system according to Shamin
--- Regularly contact existing accounts based on the tracing
frequencies found in the sales system.
--- Invite clients to the hotel for entertainment, lunches, tours
and site inspections.
--- Assist in the preparation of required reports in a timely
--- Be familiar with all Shamin sales policies and selling
techniques with an emphasis on maximizing occupancy and Average
Daily Rate (ADR).
--- Conduct a professional, thorough site inspections of the hotel
with clients, exhibiting key features and benefits of the
--- Understand the competitors in the market and the strategy to
sell against them.
--- Participate in the S.W.O.T. analysis
--- Meet and greet onsite contacts.
--- Abide by Prime Selling Time (PST)
--- Participate in Lobby Ambassador program (AM/PM)
--- Attend all training/meetings as required by management.
--- Cross-sell other Shamin hotels
--- Perform other duties as requested by management
Education & Experience:
--- High school diploma or GED certification required.
--- Bachelor's Degree and/or extensive experience in a hotel or
related field required.
--- 1-2 years of hotel or customer service experience
--- Must be able to work with and understand financial information
and data, and possess basic mathematical skills
