Position Title: Client Coordinator

Department: Client Support

Reports To: Client Support Manager

Status: Full Time /Salaried /Exempt

The Client Coordinator is directly responsible for the selection and placement of appropriate qualified caregivers to clients based on the client's specific individual care needs and scheduling preferences. The Client Coordinator must also understand and interpret the needs of the caregivers, client families, and core business operations including but not limited to, personnel management, health and safety protocols, and intake assessment to make the necessary operational decisions directly effecting client care.

Major Duties & Responsibilities

Responsible for the full scheduling, placement, and logistical management of client case load Responsible for the full scheduling, placement, and logistical management of caregivers Ensure that all assigned Case schedules are fully staffed Open shifts for the current day and the following business day (including Saturday and Sunday) must be staffed before the end of your normal work day Open shifts must be staffed before the commencement of any planned time off or flex time Responsible for the resolution of client and/or caregiver scheduling, placement, and general concerns o Must notify manager of unresolved case management by noon of each day Responsible for notifying the Nurse assigned to a case with any clinical concerns Confirm weekend schedules with Caregivers and Clients Communicate with caregivers utilizing email or prerecorded phone messages to ensure that all caregivers receive important information Ensure that all documentation is recorded in ClearCare on a daily basis.
Ensure that client retention is made at least monthly and on the first day of a newly assigned client case Check all voice mails and return calls by the end of each day Responsible for the growth and retention of clients in assigned geographic area Responsible for weekend rotation shift and holidays as designated Forecast hiring needs by analyzing staffing supply and demand Submit hiring needs timely to the Client Coordinator Manager Responsible for monitoring mobile app/telephony clock in and out of caregivers as well as other telephony compliance processes.
Must be able to master the use of ClearCare to schedule and utilize reporting features within the system Must have the ability to work outside of regularly scheduled office hours as needed for staffing related emergencies/concerns Must have the ability to exercise discretion and independent judgement to carry out job responsibilities Assist with special projects as needed

Education Requirements- High school diploma required bachelor degree preferred

Skill Requirements- must possess intermediate computer skills, effective communication skills both verbal and written, must be organized and able to multitask, strong listening skills and problem solving skills are needed.

Work Experience Requirements- Must have at least 3 years' experience in a responsible decision making position.

Physical Requirements- must be able to sit for long periods of time, must be able to use basic office equipment.
