Job Description:
Operation Smile mobilizes a world of generous hearts to heal

of staff and volunteers works worldwide to repair childhood facial
deformities, including cleft lips and cleft palates. As one of the

60 countries to heal children's smiles and bring hope for a better
future. Reporting to the Co-Founder and President of Operation
Smile, Inc., the Sr. Administrative Assistant will be responsible
for coordinating activities and supporting revenue-driving legacy
projects for Operation Smile. They will manage and execute
administrative responsibilities related to travel, expenses,
budgets, internal and external meetings, organizational plans,
conferences and department personnel. Additional responsibilities
will include support for donor communication and cultivation and
supporting projects within the organization's 40th anniversary
scope while maintaining and expanding global relationships through
the Office of the President. Excellent written and verbal
communication skills are required. The full-time position is
located in Virginia Beach, with minimal travel. Essential
Functions: * Maintains President's calendar, meetings, travel
arrangements and works in tandem with Executive Assistant to the
CEO and Board of Directors
* Develops materials for internal and external communications and
events
* Assists Legacy Projects and Events & Partnerships teams with
administrative support and coordinating activities
* Supports Legacy Projects team in revenue-related initiatives,
including events, proposals, reporting, budgets and program
management
* Conducts revenue-related research for Office of the President
donor prosects
* Prepares presentations and communications for Office of the
President and others as needed
* Provides communication and coordination between Office of the
President and related departments of Student Programs, Asia
Development, Research (International Family Study), Nutrition
(RUTF), and the Interactive Learning Center (ILC)
* Supports the Champions' Program with communication and execution
of programmatic goals in conjunction with the Education team,
Volunteer Management, Logistics and Global Operations
* Manage/support projects that may overlap with Global Business
Operations, International Programs, Volunteer Management,
Development, Brand, Partner Countries, Logistics, HR and Finance
Departments
* Plans and oversees events sponsored by the Office of the
President
* Maintains effective communication between Office of the President
and all Operation Smile foundations, boards and country-level
governing structures
* Support budget development and cost analyses for the Office of
the President and special initiatives
* Works in tandem with consultants as designated by the Office of
the President
* Supports social media initiatives for Office of the President
* Supervises at least one (1) intern annually
* Other responsibilities as needed Qualifications/Skills Required:
Candidates must have at least a Bachelor's degree, a minimum of 5-8
years of professional experience, and must also demonstrate: *
Superior written and verbal communication skills, as well as strong
presentation and liaison skills.
* Ability to represent Operation Smile in a positive and
professional manner during interaction with constituents,
volunteers, donors, foundations and leadership staff.
* Computer proficiency, including strong skills with Microsoft
Word, Excel, PowerPoint, Teams, web conferencing, social media,
video/marketing tools, as well as other database and web-based
fundraising tools.
* Ability to work well independently while maintaining strong
communication with supervisor.
* High level of integrity in dealing with confidential
information.
* Proven success in managing multiple projects in a metric-driven
environment.
* Capacity to deal comfortably and sensitively with high-level
donors and executive leadership.
* Ability to forge strong working relationships with others.
* Strong capacity for engaging trust among colleagues, volunteers
and donors.
* Understanding of and commitment to the mission of Operation
